About SwimNexus

Who operates SwimNexus?

SwimNexus is the trading name of Lewis Plume, a UK sole trader. It is not a limited company. The business address is 20 Talbot Close, Highbridge, Somerset, TA9 3AX, United Kingdom, and the support address is [email protected]. SwimClubOS, SwimMeetOS and the planned SwimLeagueOS are products of that one business. About SwimNexus

Which products are available?

SwimClubOS (club operations) and SwimMeetOS (meet hosting) are available. SwimLeagueOS is planned and is not offered as an operating product yet. Products

Can we trial SwimClubOS?

Yes, by arrangement. A free pilot is currently 30 days from the day SwimNexus activates your club, as your signed pilot agreement states. SwimNexus fees are £0. The pilot starts only after your authorised representative has signed the agreement and your club environment is ready. Ask about a pilot

Does a free trial automatically become paid?

No. A free pilot never converts to a paid plan and we do not take a payment method. When it ends, operational access ends. Anything paid would need a separate agreement that you accept.

Where your information lives

Where is our data hosted?

The primary infrastructure is hosted in the United Kingdom on servers SwimNexus operates. Cloudflare Tunnel provides connectivity and Cloudflare processes website traffic. Encrypted offsite backups are held with Microsoft OneDrive and Google Drive. We do not claim that every piece of information stays in the United Kingdom, and we are verifying the regions and transfer terms of our suppliers. Security and data protection

Are club databases shared?

Not for SwimClubOS. Each club has its own operational database and private file storage, and an unknown or incomplete club is refused rather than guessed. SwimMeetOS meet records are different: they sit in the SwimNexus platform database and are separated by the host organisation. Security Assurance Pack

Are backups encrypted?

Yes. Backup files are encrypted on the hosting computer before upload to Microsoft OneDrive and Google Drive. Both services also encrypt them in transit and at rest, both accounts use multi-factor authentication, and restoring from the cloud backups has been tested successfully. This is confirmed by the operator and is not an independent audit. How backups work

Access to your information

Who can access our membership information?

The people your club gives access to, with the permissions your administrators choose. Families see only the swimmers linked to them. SwimNexus can open your club only under the Provider Access Policy. Who controls your data

Can SwimNexus support staff access our account?

SwimNexus can, but only for a stated reason, for a limited time, within a limited scope, and normally after an owner or administrator of your club approves it. There is no support department: SwimNexus is run by one person. An emergency route exists for urgent security or data-integrity situations, with extra safeguards and a later review. We never need your password. One limit: for SwimMeetOS the approval step is not enforced yet, though access is recorded. Provider Access Policy

How is provider access recorded?

Every session is recorded in UTC with who, which club, why, the approval reference, the scope, start and end, and each page opened or change attempted, without passwords, medical details or document contents. The records cannot be edited through the application, and your administrators can see the history for your club. What is recorded

Does SwimNexus sell our data or use it to train AI?

No. SwimNexus does not sell personal information, use it for advertising, or use club personal data to train artificial-intelligence models. Privacy Policy

Leaving and exporting

Can we export our information?

Yes. A club owner or administrator can request a complete export from the document centre: CSV tables, linked JSON records, your uploaded files in their original format, your agreements and a manifest that says what is included and left out. It is built in the background, downloaded only by signed-in authorised users, and kept for 7 days. Export and Exit Policy

What happens when we leave?

Operational access stops and we follow the exit instruction you recorded: delete, or export and then delete. Signed agreements and the minimum audit records stay available to you. We show each step separately and only say your data is deleted once it has been. Export and Exit Policy

What happens to deleted backup copies?

Deleted copies held in our cloud backup storage may remain recoverable for up to 30 days. They are not used for anything and are not restored into live use without re-applying the deletion. We do not claim instant physical deletion from backups. Backups and restoring

Integrations and email

Can we use our own GoCardless account?

Yes. Payment providers are your club's own arrangement: you connect your own GoCardless account and your members' payments go through it. SwimNexus does not collect your members' payments and does not switch a provider on for you during a pilot. Supplier roles

Does our club need to change email provider?

No. Joining does not require you to change your email provider. Your own mailbox or Microsoft 365 subscription remains yours.

Do you offer an API?

Not a general public developer API. We offer club-issued MCP access credentials, organisation-issued credentials for SwimMeetOS, and a read-only feed of website content a club has published. The terms are published for information. Integration terms

Support and reporting

What support is available?

Email [email protected]. Free pilot customers get reasonable assistance by email. We do not offer 24/7 support, and we do not promise response times or uptime. Support Policy

How do we report a security concern?

Email [email protected] with "Security" in the subject and describe what you saw without including passwords or personal details. If club personal data is affected we tell the club without undue delay. Security contact

How do we make a data-protection complaint?

Use the complaints form or email us. We acknowledge a complaint made to us as controller within 30 days, investigate and tell you the outcome. A complaint about a club's member records is for that club. You can also complain to the ICO. Complaints form

Assurance

Does SwimNexus hold ISO 27001 or Cyber Essentials certification?

No. SwimNexus holds neither ISO 27001 nor Cyber Essentials certification. Security and data protection

Has SwimNexus undergone independent penetration testing?

No independent application penetration test has been confirmed, and we do not claim one. We test access control and club separation ourselves as part of development, which is not independent assurance. Security Assurance Pack

Is multi-factor authentication required?

Not currently for SwimNexus platform accounts. The two cloud storage accounts that hold backups do use multi-factor authentication.
