Getting set up · support · your records

Know who helps and how your club’s information is handled.

Discuss setup and ongoing support directly with Lewis. Agree the work, access and data arrangements before putting your club or meet into live use.

Help where clubs need it.

Train your volunteers

Walk through the tasks each role needs to perform and use the in-product Support & How-To Centre for club guidance.

Prepare your website

Discuss content, branding, forms, domain connection and editor handover as part of the hosting scope.

Website and hosting help

Access follows the club and the task.

Separate club operations

SwimClubOS resolves an explicit club configuration, with separate operational databases and storage for each provisioned tenant.

Permission-controlled tools

Staff accounts and feature permissions govern access to club tools and restricted document areas. Family Portal access follows linked swimmers and households.

Controlled publication

Public website revisions and meet results have publication steps. Restricted operational information should not be treated as public website content.

SwimMeetOS meets are scoped to the host organisation within the platform. They are not described as separate per-host databases.

Agree the operational details before onboarding.

Your club remains responsible for its member records, authorised users and publication decisions. Ask how exports, retention and an eventual handover would work for the records you need.

Discuss hosting location, service providers, backup frequency, recovery arrangements and the support response you require. These details belong in the agreed service scope; this page does not promise a certification, fixed recovery time or 24-hour support service.
