SwimMeetOS

Meet management and race-day software for galas. Build the programme, take club entries, schedule officials, seed the heats, run the deck with electronic timing, and publish official results to waiting parents — all in one workspace.

1. Meet Preparation & Entries

  • Meet Builder: Configure sessions, programmes, age groups, qualifying standards, entry fees, and awards.
  • Reusable Setup: Duplicate proven meet templates or import Meet Manager compatible setup files without dragging along historical entries or results.
  • Entry Intake & Validation: Accept online club submissions, parse entry files, verify swimmer eligibility, validate seed times, and generate team financial reconciliation reports.
  • Qualifying Standard Checks: Apply entry standards per event and age band, flag rejections for review, and record the decision.
  • Officials Coordination: Public availability sign-up, qualification verification, mentoring tracking, coverage gap alerts, session allocations, and automated poolside sheet generation.
  • Club Financial Summaries: Per-club entry charge breakdowns ready to reconcile against payments received.

2. Seeding & Deck Control

  • Review-First Seeding: Automatic heat generation with operator review, lane assignments, projected session timings, and fine-grained operator overrides.
  • Finals Workflows: Seamless transition from heats to finals with automatic qualifier identification, reserve allocations, and scratch handling.
  • Poolside Rosters: Exportable marshal sheets, lane cards, and referee programmes formatted specifically for thermal printers or clipboards.
  • Operator Overrides: Fast manual heat adjustments, lane swaps, and late scratch processing with full audit logging.
  • Session Timing Projection: Estimate session duration before the deck opens so volunteers and officials know what the day looks like.
  • Relay Legs: Relay composition and leg ordering held against the team entry rather than a separate sheet.

3. Race-Day Running & Timing Integration

  • Fast Race Entry: Rapid result capture, touch-pad time reconciliation, official DQ code recording, and strict referee officialisation.
  • Quantum-AQ & Scoreboard Bridges: Structured handoffs with timing systems and real-time lane data streaming to poolside digital displays.
  • Review-First Reconciliation: Manual and electronic times compared side by side, with the referee holding the final decision.
  • Offline Continuity: Built-in local state caching so meet recording continues uninterrupted even if poolside network connections fluctuate.
  • Team Scoring: Real-time points tallying for dual meets, trophy galas, and team championships based on customizable scoring tables.
  • Disqualification Records: Official DQ codes with rule citations recorded against the swimmer and the event.

4. Live Spectator Results & Official Exports

  • Mobile Live Results: Phone-optimized real-time results for spectators, coaches, and swimmers with heat progress and official splits.
  • Print Centre: High-density Meet Manager-style print packs, session programmes, award labels, and team summary sheets.
  • National Rankings Files: Standards-based export files compatible with national ranking bodies and British Swimming databases.
  • Meet Manager Compatible Exchange: Import and export entry and results files so clubs and officials outside SwimMeetOS are never stranded.
  • Financial & Audit Reports: Detailed breakdown of club entry charges, payment reconciliations, and comprehensive operator audit logs.
  • Result Publication Controls: Deliberate publish steps so provisional data is never mistaken for an official result.

Who It Is Built For

  • Promoters & Host Clubs: Looking for a modern, calm, dependable system to replace legacy software without risking gala delivery.
  • Meet Recorders & Gala Operators: Who need fast data entry, keyboard-first workflows, and immediate timing reconciliation under pressure.
  • Referees & Officials Coordinators: Managing staffing coverage, mentoring records, and explicit official heat sign-offs.
  • Visiting Club Entry Teams: Submitting verified rosters and receiving transparent financial summaries.
  • Spectators & Families: Following their swimmer's progress live from the gallery or at home.
Capability Detail

What a meet organiser can rely on.

The features that decide whether a gala runs calmly are rarely the headline ones. These are the operational details SwimMeetOS is built around.

Programme Modelling

Sessions, events, age bands, entry fees and award structures defined once and reused across seasons, with the session timing implications visible before entries open.

Entry Validation

Swimmer eligibility, club membership, age on the day of the meet and seed time plausibility checked on intake, so errors are caught before seeding rather than on the deck.

Officials Coverage

Availability sign-up, qualification checks, mentoring records and coverage gap alerts, so a session is never short of a referee or a recorder without someone knowing in advance.

Seeding & Lane Assignment

Automatic heat generation with operator review, lane assignment rules, finals qualification and scratch handling, all with the override path logged rather than hidden.

Timing & Scoreboard

Quantum-AQ handoffs, touch-pad reconciliation and digital scoreboard feeds, presented for referee sign-off rather than silently accepted.

Exports Other Systems Read

Meet Manager compatible entry and results exchange, national rankings files, print packs and audit reports, so the meet does not end at the poolside.

Straight Comparison

SwimMeetOS and Meet Manager.

Most UK host clubs run galas on Meet Manager. This is an honest summary of where the two approaches differ today.

Comparison describes the operational model of each product rather than a feature count. Meet Manager remains the incumbent for most UK host clubs.
Consideration SwimMeetOS Hy-Tek Meet Manager
Where it runs Browser based. Nothing to install on the poolside laptop, and the committee can see the same meet. Installed desktop application tied to a specific machine.
Officials scheduling Availability sign-up, qualifications, mentoring and coverage gaps tracked alongside the meet. Typically a separate spreadsheet or rota document.
Club entry intake Clubs submit online or send entry files; validation and finance reconciliation happen on import. Entry files exchanged and reconciled per club by hand.
Seeding control Review-first seeding with visible overrides and an audit trail. Established seeding workflow with manual intervention.
Spectator results Built in. Phone-optimised live results as each event is officialised. Not part of the product; usually a separate results service.
Offline resilience Designed for intermittent poolside connectivity with local state continuity. A desktop install is naturally local, but not shareable across the team.
File interoperability Meet Manager compatible entry and results exchange is a first-class, supported path. The established reference format for UK gala exchange.
Maturity In invited active testing. Not yet a decade-old incumbent. Mature, and very well understood by existing gala recorders.
Comparison describes approach, not guaranteed superiority. Meet Manager is a trademark of its respective owner, referenced here for interoperability only.
Questions

Questions gala secretaries ask us.

Does SwimMeetOS replace Hy-Tek Meet Manager?

SwimMeetOS covers the same ground as Meet Manager for programme setup, entry intake, seeding, deck running and results publication, including Meet Manager compatible entry and results file exchange. A host club can therefore run a gala in SwimMeetOS while still exchanging files with clubs or officials who remain on Meet Manager.

Can a club still submit entries the way it always has?

Yes. Clubs can submit electronic entry files exactly as they do today, and Meet Manager compatible entry packs are parsed and validated on import. Clubs already using SwimClubOS can instead generate a verified entry pack from their own member records, which removes the retyping step entirely.

What happens if the poolside network drops?

Meet running is built for local state continuity. Results capture, DQ recording and heat progression continue when connectivity is unstable, then synchronise when the connection returns, so a session is not stopped by a dropped router.

How does electronic timing connect?

SwimMeetOS supports Quantum-AQ timing handoffs and scoreboard feeds. Timing data is reconciled against manual capture for review, and nothing becomes an official result until the referee officialises it.

Is my club data visible to other clubs on the platform?

No. Each club, and each meet host, operates in a separate operational database and storage root. Confidential member records and financial data do not cross club boundaries, and access is scoped by role.

Can we run a pilot gala before committing?

That is the intended path. We ask for your next gala programme and entry files, run the meet in parallel with your existing process, and compare outputs. Tell us the meet date and we will confirm what a parallel pilot looks like for your club.

Next Step

Test SwimMeetOS on your next gala.

Send us your next open meet programme and the entry files you received this season. We will tell you exactly what importing them into SwimMeetOS looks like, and what a parallel pilot would involve.
