Running a live league

SwimLeagueOS

A shared operational home for swimming leagues, connecting season structures, participating clubs, fixture hosts, and public standings. Already running a full competitive season, so you can see it working rather than take our word for it.

1. Season & Division Structure

  • Divisions & Rounds: Configure multi-tier league structures, promotion/relegation rules, and seasonal round calendars.
  • Participating Clubs: Register competing clubs, assign team codes, and maintain verified committee and team manager contacts.
  • Rules & Points Systems: Support standard league scoring models, relay bonuses, penalty deductions, and custom tie-break rules.
  • Venue & Host Schedules: Assign fixture host responsibilities, pool venue requirements, and warm-up timetables.

2. Team Declarations & Eligibility

  • Online Team Declarations: Participating clubs submit gala team sheets, age-group allocations, and relay squads digitally.
  • Eligibility Checks: Automatically verify swimmer ages at cutoff dates and ensure swimmers haven't competed in unauthorized divisions.
  • Late Substitution Workflows: Controlled poolside changes with full audit trails so league officials can verify swimmer swaps.
  • Direct Club Handoff: Clubs using SwimClubOS can populate declarations directly from their active member roster.

3. Cross-Product Fixture Delivery

  • Direct SwimMeetOS Integration: Host clubs can pull the complete fixture programme and declared rosters directly into SwimMeetOS for race running.
  • Automated Results Return: After the final heat is officialised, fixture scores and event times sync back into SwimLeagueOS without manual re-keying.
  • Disqualification Citations: Formal recording of technical DQs with official rule citations preserved in fixture archives.
  • No Spreadsheet Transcriptions: Eliminates the weekend scramble to transcribe paper gala sheets into disconnected league spreadsheets.

4. Live Standings & Season History

  • Automated League Tables: Points standings, gala wins, and cumulative event scores update immediately as fixtures conclude.
  • Public League Portal: Mobile-friendly public tables and fixture results for clubs, swimmers, and supporters.
  • Historical Archives: Multi-season records of past champions, record times, and participating club statistics.
  • Dispute & Adjustment Audits: Transparent logging of any official points adjustments or committee penalties.

Who It Is Built For

  • League Secretaries: Coordinating fixtures, clubs, venues, and annual rule books with less manual email administration.
  • Fixture Hosts: Running gala evenings efficiently without having to construct custom event programmes from scratch.
  • Club Team Managers: Submitting squad declarations quickly without tracking down paper entry cards.
  • Points & Results Recorders: Publishing accurate, verified league standings without spreadsheet formula errors.
  • Swimmers & Supporters: Checking their club's position in the table on their phone right after the final relay.
Proven in a Live Season

What a league gets today.

This is not a roadmap. These are the parts running for a real league right now, and the honest limits alongside them.

Live league site Public clubs, season draw, league table and history published for the whole league to read.
Multi-tenant Your league is its own setup with its own clubs, divisions and scoring rules.
Fixture handoff Fixtures are designed to pass into SwimMeetOS for the host club and return results to the table.
Live today Public league site, participating clubs, season draw, live league table, season history and per-club pages.
In place, still hardening Cross-product fixture handoff and automated results return where the host club is running SwimMeetOS.
Being built with leagues Divisions and promotion, club declarations, eligibility checks, penalties and tie-break configuration for leagues with more complex rules than ours.
Not something we claim SwimLeagueOS is not a governing body system and does not replace national rankings. It coordinates and publishes a league season.
Questions

Questions league secretaries ask us.

Is SwimLeagueOS actually running a league, or is it still being built?

It is running a league. SwimLeagueOS powers thecotswoldleague.co.uk, which organises a full competitive season: participating clubs, a published season draw, live league tables and season history. What it does not yet have is the breadth of league-specific features we want to add, which is why we are opening conversations with other league secretaries rather than presenting it as finished.

Can we see it working before we talk to you?

Yes. thecotswoldleague.co.uk is public, so you can look at the club pages, the season draw and the live table today. That is the honest way to evaluate it, rather than judging a product page.

Would our league be a second tenant, or would we use the Cotswold setup?

Your league would be its own setup with its own clubs, divisions and scoring rules. SwimLeagueOS is built as multi-tenant software, so leagues do not share operational data with each other.

Does it connect to how we currently run fixtures?

Fixtures are designed to hand off into SwimMeetOS for the host club running the gala, with results returning to the league automatically once events are officialised. If your host clubs are not on SwimMeetOS, that is the main thing we would need to work through with you.

What would you need from us to give a straight answer?

Your league format: how many divisions, how many clubs, how the season is structured, how points are scored and what currently gets done on paper. Send that and we will tell you plainly what SwimLeagueOS covers today and what it does not.
